Who we are

PivotPlan is an iPhone and iPad app for planning trips. It is published by Breck Ashby, an individual developer in the United States ("we" and "us" in this policy). Under data protection laws such as the EU and UK General Data Protection Regulation (GDPR), we are the controller of the personal data described here. You can reach us at [email protected].

What we collect

What stays on your device

Copies of your trips are also kept on your device so the app works offline.

What we don't collect

PivotPlan contains no analytics, advertising, or tracking code. We don't access your contacts, and we don't store where your device is. If you allow your device to share analytics with app developers (in iOS Settings, under Privacy & Security, Analytics & Improvements), Apple may give us anonymous crash reports; you control that setting.

How we use it, and why we're allowed to

We use your data only to provide PivotPlan. We don't use it for advertising or profiling. Laws such as the GDPR require a "legal basis" for each use:

Who we share it with

We share personal data only with the service providers below, who process it for us under contracts that require them to protect it and to use it only to provide their service to us; with the people you choose; and when the law requires. We never sell your personal data or share it for targeted advertising.

Smarter Suggestions

Smarter Suggestions isn't available to everyone yet. Where it is, it's off until you turn it on, and the app asks for your permission first. The app shows you exactly what it shares:

When available, Smarter Suggestions uses OpenAI to choose and explain useful changes. Turning this on allows trip dates, anchor names and times, and suggestion text to be sent for ranking. When you tap to find something nearby, place names and categories, available time, and approximate distances may also be sent to choose activity ideas. Names can reveal places you plan to visit. Notes, account email, saved sidequests, and raw coordinates are not included in the request. Ordinary suggestions still work when this service is unavailable or turned off.

OpenAI processes this for us. Under its API terms, OpenAI does not use it to train its models. We ask OpenAI not to store the responses, but it may keep requests for up to 30 days to detect abuse. You can turn Smarter Suggestions off at any time on the Account screen.

Location, explained

PivotPlan uses two kinds of location, and handles them differently.

Where your data is processed

Our servers are in the United States. If you live elsewhere, your data is transferred to the US. For transfers from the European Economic Area, the UK, and Switzerland, our service providers' data processing agreements include the European Commission's Standard Contractual Clauses and their UK and Swiss equivalents.

How long we keep it

Your rights and choices

In the app you can edit your trips, remove them from your trip list (removed trips are permanently deleted with your account), change your display name, turn Smarter Suggestions off, and delete your account (tap the Account button, then Delete Account). Location access and notifications are controlled in iOS Settings.

By email to [email protected], you can ask for a copy of your data, ask us to correct or delete it, ask us to restrict or stop a use of it, or withdraw a consent you gave. We answer within 30 days, free of charge, and may ask you to confirm the request comes from your account's email address.

In the EU, UK, and Switzerland you also have the right to data portability and the right to complain to your local data protection authority (EU authorities, UK ICO).

In the United States, depending on your state, you may have the right to know about, access, correct, and delete your personal data, and to opt out of its sale or use for targeted advertising. We do neither, so there is nothing to opt out of; the other requests work by email as above. We won't treat you differently for using any of these rights.

Security

Your data travels over encrypted connections (HTTPS). Our database lets each account read only its own trips and the trips shared with it. On your device, attachments are stored with iOS data protection. No system is perfectly secure; if a breach affects your data, we will notify you and the authorities as the law requires.

Children

PivotPlan is not directed at children under 13, or under the age of digital consent where you live (up to 16 in parts of the EU), and we don't knowingly collect their data. If you believe a child has given us personal data, email [email protected] and we will delete it.

Changes to this policy

When we update this policy, we change the effective date at the top. If a change is significant, for example a new kind of data or a new company we share it with, we will tell you in the app or by email before it takes effect. Past versions are available on request.
